Position Summary

The Early Childhood Administrative Assistant provides high-level administrative and organizational support to the Early Childhood Division Head and serves as a key liaison between faculty, staff, parents, and the broader school community. This role ensures smooth daily operations within the division through strong communication, attention to detail, and a commitment to the mission and values of St. Martin’s Episcopal School.

Essential Duties & Responsibilities
Administrative Support

Provide direct administrative assistance to the Early Childhood Division Head, including scheduling, correspondence, and document preparation.

Maintain the Early Childhood calendar, coordinate meetings, reserve rooms, and manage logistics for divisional events and activities.

Prepare and distribute divisional communications, newsletters, and parent correspondence.

Operational Coordination

Manage materials, supplies, and textbook orders for the division.

Coordinate Early Childhood field trips, including permissions, transportation, and communication with faculty and families.

Assist with standardized testing, summer work packets, and other academic support functions.

Attend divisional and school-wide meetings, functions, and committees as needed.

Community Relations

Greet and assist visitors to the Early Childhood office, providing a welcoming and professional presence.

Serve as a resource for families and staff regarding schedules, procedures, and school events.

Maintain confidentiality and discretion in all communications and records.

General Support

Provide backup support for the main reception desk, as needed.

Collaborate with administrative colleagues to coordinate cross-divisional initiatives.

Support other school projects and duties as assigned.

Qualifications
Education: Bachelor’s degree preferred; equivalent combination of education and experience considered.
Experience: 1-3 years of administrative experience preferred; experience in an independent school or education setting preferred.
Technical: Proficiency in Microsoft Office, Google Workspace, and general database management.
Knowledge/Skills: Strong written and verbal communication skills; ability to prioritize, manage multiple tasks, and meet deadlines in a fast-paced environment.

Work Schedule & Position Status
The role is a 12-month position that follows the school’s academic calendar. The position includes typical daily working hours of Monday–Friday, 7:30 a.m.–2:30 p.m. during the academic year. The position joins our faculty as a full-time and benefits-eligible employee. The role is salaried and exempt per FLSA guidelines.

Physical Requirements
Primarily office-based with campus mobility; ability to sit, stand, and walk the campus; and occasionally lift up to 25 lbs related to materials or event setup. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions.
