POSITION OVERVIEW
The Executive Director serves as the chief operational and administrative leader of AAAIS, providing continuity, coordination, and strategic support for the organization’s mission and membership. This role oversees communications, governance support, membership administration, financial coordination, group engagement, and external relationships. Working closely with the Executive Committee, school heads, and group leaders, the Executive Director ensures effective operations, maintains professional standards, supports collaborative decision-making, and represents AAAIS within the broader independent school and education landscape.

Committee Status: Ex officio member of the Executive Committee
Supervisory Responsibilities: This position does not have direct staff supervisory responsibility. The Executive Director works closely with volunteer leaders, committee chairs, and external service providers.
Position Status: Part-time, non-exempt
Hours of Work: This role averages approximately 5 to 10 hours per week, with workload fluctuating seasonally based on the AAAIS calendar, meetings, and annual responsibilities. The work schedule is flexible and variable based on organizational needs. Evening or occasional weekend availability may be required for meetings or events. The role is hybrid, with remote work and periodic in-person meetings in the Atlanta area.
REQUIREMENTS AND QUALIFICATIONS

● Leadership experience in an AAAIS member school or within a comparable independent school association (e.g., NAIS, SAIS, GISA, or similar) is required.
● Strong written and verbal communication skills
● Demonstrated ability to work independently with a high level of organization and follow-through
● Experience with budgets, financial reporting, and nonprofit operations preferred
● Ability to manage confidential information with discretion
● Comfort working with volunteer leadership structures and consensus-driven organizations
● Proficiency with Zoom, email platforms, document management systems, and website content tools
● Familiarity with website management and basic search engine optimization concepts is a plus
ESSENTIAL RESPONSIBILITIES Governance, Communication, and Membership
● Communicate regularly with school heads, heads’ assistants, and group leaders regarding AAAIS matters and issues impacting the independent school community
● Stay current on independent school education trends and track Georgia legislative activity affecting education
● Attend all Executive Committee meetings, prepare agendas, and record meeting minutes
● Attend meetings of school heads and heads of small schools, and prepare written agendas for Business Meetings
● Serve as an ex officio member of all ad hoc committees
● Prepare, distribute, and track the annual Statement of Commitment and Enrollment forms
● Maintain accurate enrollment and membership data
● Oversee annual calendar meeting on behalf of member schools
● Investigate and respond to conflicts between member schools and work toward resolution
● Respond to inquiries received via email or through the AAAIS website
Membership Review and External Relations
● Review applications for membership, schedule school visits, collect supplemental information, and prepare written summaries for Executive Committee review and vote by school heads
● Recommend removal of member schools due to non-payment of dues or violations of Principles of Best Practice, as appropriate
● Maintain relationships with SAIS and NAIS and attend their annual conferences regularly
● Maintain membership with ISAnet and participate in scheduled network meetings
● Maintain required relationships with the Georgia Department of Labor
● File the annual IRS Form 990-N to preserve AAAIS 501(c)(3) status
● Maintain organizational archives, including agendas, minutes, financial records, enrollment data, and communications
● Renew organizational services annually, including website domain registration, post office box rental, and Zoom membership
Financial
● Prepare quarterly financial statements for the Executive Committee
● Prepare the annual AAAIS budget
● Coordinate with SAIS Accounting on the preparation and distribution of dues invoices
● Collect and deposit dues and follow up on non-payment as needed
● Pay all organizational invoices promptly
● Work with banker to maintain checking and credit card accounts and authorized signatories
Groups and Community Engagement
● Assist group leaders with scheduling meetings and securing meeting locations
● Maintain and update all organizational email distribution lists and member rosters
● Attend at least one meeting of each AAAIS group annually
● Attend all meetings of the Admissions Group
Technology and Website Management
● Periodically review the AAAIS website to ensure information is accurate and current
● Coordinate with Heyday Web Media on website redesigns approximately every five years
● Work with LifeX on ongoing search engine optimization efforts
PHYSICAL DEMANDS AND WORK ENVIRONMENT
While performing the duties of this position, the individual may be required to sit, stand, walk, use hands to handle or feel objects, reach with hands and arms, and communicate verbally and in writing. Occasional lifting of light materials may be required. The work environment is primarily office-based, with both remote and in-person settings.
TRAVEL
Travel is primarily local within the Atlanta metropolitan area. Occasional overnight or out-of-area travel may be required for conferences, meetings, or professional development opportunities.
